Overview


Faculty receive a unique survey link to fill out their faculty profile in AAMS. Completed faculty profiles are prepopulated into 3 standards of the 'Self Study' tab. Note: Data fields from faculty profiles 'in-progress' or 'not started' are not included in the Self Study


Features


The 'Faculty Profiles' button is found on the top right corner, under the Self Study tab.

  • Import Faculty: Import a list of faculty.  
  • Add New Faculty: Manually add faculty one by one.
  • Notify Faculty: After adding faculty, either manually or through an imported list, the 'Notify Faculty' button must be clicked in order to to send faculty their unique survey link.


How to Add Faculty


There are 2 ways to add faculty:

  • 'Add New Faculty': Once clicked, the faculty's survey page will populate starting with their 'Personal Information' at the top of the page. 
    • Any school user with the faculty profile permission level may fill out fields prior to sending out the invitation email. 
    • In order to be able to send the unique survey link to faculty, please fill out: first name, last name, email, and then click 'Save'. 
  • 'Import Faculty': Click on 'Choose File' to upload the Excel or CSV list of faculty. There are two sample templates available to download with column headings that must be used in the imported file. Note: Column headings must match the sample templates column headings. First and last name as well as email are required fields. After choosing a file, click on 'Import Faculty' and a green pop up message will appear stating how many faculty profiles were created. Troubleshoot: If running into issues, convert the file to CSV and check all 3 fields for any extra spaces and/or missing characters in the required fields, or duplicates. If experiencing further issues email the list to the AAMS Helpdesk using the subject heading File Error with a screenshot of any error messages received as this will help facilitate troubleshooting. 


How to Notify Faculty


Faculty will not receive their unique survey link until an email is sent using the 'Notify Faculty' option. Once 'Notify Faculty' is clicked, a template email will populate. There are 4 options for the 'To' field:

  • Notify all faculty that have been newly added and have not yet received an invitation email: meant for newly added faculty. 
  • Notify selected faculty hat have been newly added and have not yet received an invitation email: meant for newly added faculty.
  • Notify all faculty that have not yet submitted, but have already received an invitation email: meant as a reminder for faculty added a while back who have not completed their faculty profile.
  • Notify selected faculty that have not yet submitted, but have already received an invitation email: meant as a reminder for faculty added a while back who have not completed their faculty profile.

For the message, a template populates into the message body. The message may be edited as desired. Once the message is ready to be sent, click on 'Send Message'. Note: Although not visible to school users, a unique survey link will be sent at the end of the message for faculty to access and edit their faculty survey.

FAQ


An email was sent to me with my unique survey link to my faculty profile but I cannot find it, where is my email?

  • Please check your junk/spam folder for the invitation message coming from aams@aacp.org. If you're unable to locate the message, email the AAMS Helpdesk using the subject heading Profiles to request your survey link.


Do I need an AAMS account to complete my faculty profile?

  • You do not need an AAMS account to access or submit a faculty profile. When assigned a faculty profile you should receive an invitation email to complete your faculty profile with a unique survey link at the end of the message. Please do not share the invitation email nor the unique survey link with anyone else.


I submitted my faculty profile but why is it showing up as incomplete or in-progress?

  • Please send the invitation email with the unique survey link you used to complete your faculty profile to the AAMS Helpdesk using the subject heading Profiles. Please do not share the invitation email nor the unique survey link with anyone else. 


I am in charge of administering faculty profiles for my school/college of pharmacy. My institution is divided by campus, should I add my campus location before sending out invitation emails for faculty profiles?

  • If your institution is divided by campuses or departments please ensure your school administrator has these set up correctly in the school Profile prior to sending the invitation emails (otherwise they will not populate correctly in the Self Study standards). Note: Both Departments and Campuses need to be inputted prior to administering the faculty profiles so that faculty may select them when completing their profile. 


Is it possible to import all the faculty profile data into the profiles so we do not have to manually enter in the data?
  • No, only faculty names and emails can be imported into the system in order to create the profiles. Other information in the faculty profiles need to be inputted manually.


What data in the faculty profiles are prepopulated into what standards of the 'Self Study' tab?
